Getting Started
Application Overview
The NeoVault Drug Testing Application is a mobile phone app that helps you do drug tests. This app is made to help you do drug testing in the right way. The app works on your phone or tablet. It guides you through every step of the drug testing process. You do not need to guess what to do next because the app tells you everything.
The app follows a clear 3-step process that never changes:
Step 1: Scan - This means you check who the person is, look at their ID card, and find out what test kit you will use.
Step 2: Collect - This means you follow the step-by-step instructions to actually do the drug test with the person.
Step 3: Document - This means you look at the test results, make sure they are right, get signatures from everyone, and save everything to the computer system.
This process makes sure that every drug test is done the same way every time. It also makes sure you do not forget any important steps. The app saves everything so you can look at old tests later if you need to.

User Authentication
Login Screen
To log in, follow these steps:
- Look for the first text box. This box says "username" or "email" next to it. Type your work email address in this box. Make sure you spell it correctly with no spaces.
- Look for the second text box. This box says "password" next to it. Type your work password in this box. Be careful about capital letters and small letters because passwords care about this.
- If you want to see your password while you type it, tap the small eye symbol next to the password box. This helps you make sure you typed it right. Tap the eye again to hide your password.
- When both boxes are filled in correctly, tap the big "Login" button. This button is usually blue or green.
If you have problems logging in, sometimes the login does not work. This can happen for different reasons. Maybe you typed your email or password wrong. Maybe your account is not set up yet. Maybe there is a problem with the internet connection. If you cannot log in, do not keep trying many times. Instead, contact your supervisor or the person who handles computers at your workplace. They can help you fix the problem. Write down any error messages you see so you can tell them exactly what happened.
Home Dashboard
Welcome Screen Features
After you log in successfully, you will see the main dashboard screen. This is like the home page of the app. The dashboard shows you important information about your work and lets you start new drug tests.
Here is what you will see on the dashboard:
- Welcome message with your name - At the top of the screen, you will see "Welcome back" followed by your first name. This shows that you are logged in correctly and the app knows who you are.
- Last Collection date - This shows the date when you did your most recent drug test. If you have never done a test before, this might be empty or say "No previous collections." This helps you remember when you last worked with the app.
- Test Collected counter - This is a number that shows how many drug tests you have completed using this app. Every time you finish a complete test, this number goes up by one. This helps you and your supervisor keep track of your work.
- Two main action buttons - These are the most important buttons on the screen:
- Begin New Collection - This green button starts a brand new drug test from the beginning. Tap this when you have a new person to test and a new test kit to use.
- Resume Collection - This button helps you continue a test that you started before but did not finish. When you tap this, the app takes you to the History page, where you can see tests that are not finished yet.
Navigation
At the bottom of your screen, you will see a navigation bar. This bar has three sections that you can tap to go to different parts of the app:
- Home - This takes you back to the main dashboard screen. When you are on the Home screen, this button will look different or be highlighted to show where you are.
- History - This shows you all the drug tests you have done before. You can see completed tests and tests that are not finished yet.
- Account - This shows information about your user account. You can change your password or update your information here.
You can tap these buttons anytime to move around the app. The app will remember what you were doing and save your work.
Starting a New Collection
Collection Overview Screen
Before you start doing a drug test, the app shows you an overview screen. This screen explains what will happen during the test. This helps you prepare and makes sure you understand the process.
The screen shows you the same 3-step process that every drug test follows:
Step 1: Scan
- Donor Authorization - This means verifying that the person providing the sample is who they claim to be.
- Donor ID verification - This means you need to review their identification card and ensure it is genuine and valid.
- Test Kit identification - This means you need to scan or select the correct drug test kit that you will use.
Step 2: Collect
- Follow step-by-step instructions for sample collection - The app will show you exactly what to do to collect the sample from the person. You will follow these steps one by one.
Step 3: Document
- Review, confirm, sign, and submit test results - After the test is done, you will look at the results, make sure they are correct, get signatures, and send everything to the main computer system.
To proceed with starting the test:
- Tap the "Begin Collection" button when you are ready to start the actual drug test process.
- If you do not want to see this overview screen every time, you can check the box that says "Don't show this next time". But if you are new to using the app, it is better to keep seeing this overview until you know the process very well.
Product Scanning & Selection
QR Code Scanning
The app can use your phone's camera to scan QR codes on drug test kits. QR codes are those square black and white patterns that store information. This scanning makes it faster and more accurate to select the right test kit.
Scanning Process:
- When the app opens the camera, you will see the camera view on your screen. Point your phone's camera at the QR code on the test kit package.
- You will see a green square or rectangle on your screen. Move your phone so the QR code fits inside this green area.
- Hold your phone steady and make sure there is enough light to see the QR code clearly.
- The camera will automatically detect and scan the code. You do not need to tap anything. When it works, you will hear a beep or see a message.
- After scanning successfully, the app will automatically take you to the product details page for that specific test kit.
Alternative Options if scanning does not work:
- Upload from gallery - If you have a picture of the QR code saved on your phone, you can select it from your photo gallery instead of using the camera.
- Camera switch button - If the back camera on your phone is not working well, you can switch to the front camera (selfie camera).
- Flash button - If the room is too dark to see the QR code clearly, you can turn on your phone's flashlight.
- Select a Product Manually - If none of the scanning options work, you can choose your test kit from a list instead.
Manual Product Selection
Sometimes QR code scanning does not work because the code is damaged, the camera is not working, or there is not enough light. When this happens, you can choose your test kit manually from a list.
The app will show you a complete list of all available drug testing products. This list includes test kits from different companies and manufacturers. Each product entry in the list shows you several pieces of information:
- Product name and model number - This is the exact name of the test kit as written on the package.
- Manufacturer information - This shows which company made the test kit.
- Number of available variants - Some test kits come in different versions. This shows how many versions are available.
- Product images for easy identification - Pictures of what the test kit package looks like, so you can match it to the physical kit you have.
To select manually, follow these steps:
- Look at the search function at the top of the product list. You can type the name or model number of your test kit to find it faster.
- If you do not know the exact name, you can scroll through the complete list of available products. The list shows pictures, so you can look for one that matches your test kit.
- When you find the right test product, tap on it to select it.
- If the product has different variants or versions, the app will show you another screen where you can choose the specific variant you have.
Variant Selection
Some drug test products come in multiple variants. Variants are different versions of the same basic product. For example, the TamperLoks product might have different variants that test for different numbers of drugs or use different detection methods.
Example of available variants:
- TamperLoks Variant ID: A9661 - This might test for 5 different drugs
- TamperLoks Variant ID: A96611 - This might test for 10 different drugs
To select a variant, follow these steps:
- After selecting the main product, you will see a list of available variants.
- You can use the search function to find specific variants if you know the variant ID number.
- Look at your physical test kit package to find the variant ID number. This is usually printed on the label.
- Tap on the variant that matches your test kit exactly.
- The app will then take you to the product details page with information specific to your chosen variant.
Test Kit Information
Product Details Page
After you select a product (either by scanning or manual selection), the app shows you detailed information about that specific test kit. This information helps you understand what the test does and how to use it correctly.
Example using TamperLoks Drug Testing Device: The app displays several types of information:
- Product name and description - "TamperLoks" and a description that explains: "The TamperLoks Drug Testing Device is a tamperproof lateral flow chromatographic immunoassay for the detection of drugs of abuse and drug of abuse metabolites in urine." This technical description tells you that this test looks for drugs in urine samples and that it is designed to prevent tampering.
- Technical specifications - Details about how the test works, what drugs it can detect, and how accurate it is.
- Visual representation of the test kit - Pictures showing what the test kit looks like and its different parts.
- Detailed explanation of the testing methodology - Information about the science behind how the test works.
Required Information Entry
Before you can proceed with the drug test, the app requires you to enter some information about the specific test kit you are using. The amount of information required depends on your organization's policies and the specific test kit you selected.
Information you may need to enter:
- Test Kit Serial No. / Ref No. (Optional)
- This is a unique number printed on each test kit package.
- You will see a checkbox next to this field. If you want to enter the serial number, check this box first.
- After you check the box, a text field will appear where you can type the serial number.
- This field is optional, which means you can leave it empty if you want to.
- Lot Number (Usually Required)
- This is the manufacturing lot number printed on the test kit package.
- Every group of test kits made at the same time gets the same lot number.
- This information is important for quality control and tracking.
- Look on your test kit package for a number that starts with "LOT" or "Lot" and type that number exactly as you see it.
- Kit Expiry Date (Required)
- This is the date when the test kit expires and should not be used anymore.
- Look on your test kit package for a date that says "EXP" or "Expires", or "Use by".
- Enter this date using the DD/MM/YYYY format. For example, if the expiry date is March 15, 2026, you would type "15/03/2026".
- Important Warning: If you enter today's date or any date in the past, the system will show you a warning pop-up. This pop-up will tell you that you have an expired test kit and ask if you want to continue anyway. Using expired test kits can give wrong results, so it is usually better to get a new test kit that has not expired.
To proceed to the next step: After you have entered all the required information in the correct format, tap the "Submit" button to continue with the testing process. The app will check that all required fields are filled in before letting you continue.
Donor Information Collection
Collection Method Selection
After you enter the test kit information, the app takes you to the "Collect Test Detail" screen. On this screen, you must choose how you want to collect information about the person who will be taking the drug test. The app gives you three different methods to choose from. Each method has advantages and works better in different situations.
Option 1: Donor Authorization - Scan Donor ID
What this method does: This method uses artificial intelligence (AI) technology to scan and read information from government-issued identification documents. The AI can look at ID cards and automatically extract information like names, dates, and ID numbers.
Types of documents this method can read:
- Passport - The small book that people use to travel between countries
- Driver's License - The card that shows someone can legally drive a car
- National ID Card - The official identification card issued by the government
- Other government-issued photo IDs - Any official ID that has the person's photo and information
Step-by-step process for this method:
- On the "Collect Test Detail" screen, tap to select "Donor Authorization - Scan Donor ID".
- The app will show you a dropdown menu where you can choose what type of ID document you will scan. Tap on this dropdown and select the type that matches the ID the person has with them.
- After selecting the ID type, tap the "Scan With AI" button. This will open your phone's camera.
- Ask the person to place their ID document on a flat surface with good lighting. Position your phone's camera so you can see the entire ID document on your screen.
- The AI system will automatically read the ID document and extract information like the person's name, date of birth, ID number, and other details.
- After scanning, the app will show you all the information it found. You must carefully review and verify that all this information is correct and matches what you see on the physical ID document.
- If any information is wrong or missing, you can make corrections by typing in the correct information manually.
Option 2: Manual Entry - Manually Enter Donor Information
What this method does: This method requires you to type all the donor information by hand. This is useful when the scanning technology is not working, when the ID document is damaged, or when you prefer to enter information manually for better control.
Information you must collect:
- Donor Given Name (Required) - The person's first name
- Donor Last Name (Optional) - The person's family name or surname
- ID Number (Required) - The number from their identification document
- Donor ID Number (Optional) - A second identification number if they have one
Step-by-step process for this method:
- On the "Collect Test Detail" screen, tap to select "Manual Entry - Manually enter donor information".
- The app will show you a form with several text fields that you need to fill out.
- Ask the person for their identification document and carefully read the information on it.
- Type the person's first name exactly as it appears on their ID document into the "Donor Given Name" field.
- If their ID shows a last name or surname, type that into the "Donor Last Name" field. This field is optional, so you can leave it empty if there is no last name.
- Find the main identification number on their document and type it exactly into the "ID Number" field.
- If there is a second ID number on the document, you can type that into the "Donor ID Number" field, but this is optional.
- Use your phone's camera to take a clear photo of the physical ID document for verification and record-keeping.
- The app may ask you to complete additional personal information fields depending on your organization's requirements.
Option 3: myNEO User - Scan myNEO QR Code
What this method does: This method is designed for people who already have accounts in the myNEO system. MyNEO is a separate system that stores user information. People with myNEO accounts have special QR codes that contain all their information.
Requirements for this method:
- The person being tested must already have an active myNEO account
- The person must have access to their myNEO QR code (usually on their phone or on a printed card)
Step-by-step process for this method:
- On the "Collect Test Detail" screen, tap to select "myNEO User - Scan myNEO QR code".
- Ask the person being tested to open their myNEO app on their phone or to show you their printed myNEO QR code card.
- Use your phone's camera to scan the person's myNEO QR code by pointing the camera at their code.
- The system will automatically connect to the myNEO database and retrieve all the person's information that is stored there.
- All the donor information fields will be filled in automatically, so you do not need to type anything.
- After the information is loaded, you can proceed directly to the product instructions and collection steps.

Step-by-Step Collection Instructions
The app provides detailed, step-by-step instructions that guide you through the entire collection process. These instructions are specific to the test kit you selected, so different products will have different steps. The app shows you one step at a time and tracks your progress through the entire process.
Step 1: Preparation (Example)
Instruction text that appears on screen: "Do not tear open the pouch until ready to begin testing. When ready to begin testing, remove the test device from the pouch."
This first step is telling you not to open the test kit package too early. Only open it when you are completely ready to start the actual testing process. When you are ready, carefully remove the test device from its protective pouch.
Steps 2-4: Additional collection steps
Each product has its own unique collection of steps. The app will show you one step at a time. Each step provides:
- Clear, specific instructions written in simple language
- Visual aids, like pictures or diagrams, are used when necessary to help you understand what to do
- Progress tracking that shows you how many steps you have completed and how many steps remain
- Options to proceed to the next step, skip to the end, or cancel the test
Step 5: Result Reading (Example)
Instruction text that appears on screen: "Allow the urine specimen to flow down to the Test Chamber. Wait ONE MINUTE to read/record results from the window showing the test results. DO NOT INTERPRET..."
This step is telling you to let the urine sample flow through the test device to the area where results appear. Then you must wait exactly one minute before looking at the results. The timing is very important for getting accurate results.
Important timing information:
- You must wait exactly one minute, not more and not less
- Do not try to read the results outside the specified timeframe, because this can give you wrong results
- Only proceed to the next step after the complete waiting period is finished
Digital Signature Collection
The final step requires obtaining the donor's certification and digital signature:
Certification Statement: The donor must acknowledge: "I certify that the specimen provided is my own and was not substituted or adulterated. I freely consent to the testing of my specimen for drugs/metabolites."
Signature Process:
- The donor must check the certification checkbox
- The clear button allows resetting the signature area
- Donor signs in the designated signature area using finger or stylus
- Accept and Submit finalizes the certification
Final Actions:
- Done - Complete the test procedure
- Cancel Test - Cancel the entire testing process
This digital signature serves as legal consent and specimen authentication, completing the drug testing documentation process.
Navigation Options
At each step in the collection process, the app gives you several options for what to do next. Understanding these options helps you navigate through the process correctly.
Done Button:
- Tap this button when you have completed the current step exactly as described in the instructions
- This confirms that you finished the step and advances you to the next instruction
- The app records a timestamp showing when you completed each step, which helps maintain proper records
Skip to End Button:
- This button allows you to bypass all remaining collection steps and jump directly to the documentation phase
- You should only use this option when the collection process is actually complete and you do not need to follow any more steps
- This is useful if you are experienced with a particular test kit and do not need to see every single step
Cancel Test Button:
- This button terminates the current test session completely
- When you tap this button, the app will return you to the main dashboard
- All the data from the current test will be lost and not saved anywhere
- The app will ask you to confirm that you really want to cancel before actually stopping the test

Data Management and Export
Test Record Components
Every completed test creates a comprehensive record that includes multiple types of information and documentation.
Each completed test record includes:
- Collection metadata: The exact date and time when the test was performed, and location information if available.
- Participant information: Complete details about both the donor (person being tested) and the collector (person performing the test), including names, ID numbers, and contact information.
- Test kit details: Information about the specific product used, including product name, variant, lot numbers, expiration dates, and serial numbers.
- Visual documentation: All the photographs you took of the test strips and results are stored in high quality for future reference.
- Result data: The individual results for each drug test strip and the overall test outcome (positive, negative, or invalid for each substance tested.
- Digital signatures: The electronic signatures provided by both the donor and the collector serve as legal validation of the testing process.
- Chain of custody: A complete audit trail that shows every step of the testing process, including timestamps for each action and any changes that were made.
Quality Assurance Features
The NeoVault system includes several features designed to ensure the accuracy and reliability of drug testing results.
Quality assurance features include:
- AI Verification: The NEOVision AI analysis provides an additional layer of result validation by using artificial intelligence to read test strips, which can help catch human errors in result interpretation.
- Multiple Photo Requirements: The system requires you to take several photos from different angles, which ensures comprehensive visual documentation and helps the AI system make more accurate determinations.
- Signature Requirements: Both the donor and collector must provide digital signatures, which create legal validation from both parties and ensure accountability.
- Edit Capabilities: Results can be reviewed and corrected if necessary, but all changes are tracked and recorded to maintain a complete audit trail.
- Timestamp Tracking: The system maintains a complete timeline of the test progression, recording exactly when each step was completed and how long the entire process took.
Important Notes and Best Practices
Data Security and Privacy
The NeoVault system takes data security and privacy very seriously because drug testing information is highly sensitive and protected by various laws and regulations.
Data security measures include:
- All donor information, test results, and personal data are encrypted using advanced security technology and stored securely in protected databases.
- Test results and personal information are accessible only to authorized personnel who have been given specific permissions by your organization.
- You must follow all organizational policies regarding the proper handling, storage, and sharing of drug testing data and personal information.
- Never share login credentials, test results, or donor information with unauthorized people, and always log out of the app when you are finished using it.
Quality Control Procedures
Following proper quality control procedures is essential for obtaining accurate and legally defensible drug test results.
Quality control requirements:
- Always verify that test kit expiration dates are valid before using any test kit. Expired kits can produce inaccurate results and may not be legally acceptable.
- Follow all timing requirements precisely as specified in the instructions. Waiting too long or not waiting long enough can affect the accuracy of results.
- Ensure that you have proper lighting and stable conditions during the entire collection and result reading process. Poor lighting can make it difficult to read results accurately.
- Double-check all entered information, including names, ID numbers, and test results, before submitting anything. Errors in documentation can cause legal and administrative problems.
Troubleshooting Common Problems
When you encounter problems while using the NeoVault app, there are several steps you can take to resolve them.
Common troubleshooting steps:
- If QR code scanning or AI result scanning fails repeatedly, use the manual entry options instead. Manual entry is just as valid and sometimes more reliable in certain conditions.
- For persistent application issues like crashes, freezing, or error messages, contact your technical support team immediately and provide them with specific details about what you were doing when the problem occurred.
- Always ensure your phone or tablet has adequate battery life before starting a drug test. If your device loses power during testing, you may lose all your work and need to start over.
- Maintain a stable internet connection throughout the entire testing process because the app needs to communicate with the central database to save information and validate results.
Legal Compliance and Regulatory Requirements
Drug testing is subject to many different laws, regulations, and organizational policies that you must follow carefully.
Compliance requirements:
- Always follow all local, state, and federal regulations regarding drug testing procedures, documentation requirements, and privacy protections.
- Maintain proper chain of custody documentation as required by your organization and applicable laws. This includes keeping accurate records of who handled samples and when.
- Store physical specimens (if required) according to your organization's protocols and any applicable regulatory requirements for temperature, security, and time limits.
- Document any deviations from standard procedures in your records, including explanations of what happened and why normal procedures could not be followed.
Training and Ongoing Education
To use the NeoVault system effectively and maintain compliance with all requirements, ongoing training and education are important.
Training recommendations:
- Make sure you receive complete training on the NeoVault app before conducting tests independently, and ask for additional training if you are unsure about any procedures.
- Stay updated on any changes to the app, new features, or modified procedures by participating in training sessions and reading updates provided by your organization.
- Practice using all features of the app, including manual entry options and troubleshooting procedures, so you are prepared to handle different situations that may arise.
- Understand your organization's specific policies and procedures for drug testing, which may include additional requirements beyond what the app provides.
